These Terms & Conditions (“Terms”) govern your access to and use of the Outreach Tours website and services. By making an inquiry, booking a journey, or participating in any Outreach Tours experience, you acknowledge that you have read, understood, and agreed to these Terms.

1. About Outreach Tours

Outreach Tours (“we,” “our,” or “us”) designs and curates bespoke travel experiences that blend luxury, purpose, and impact across Africa. Our offerings include luxury journeys, impact accelerators, and missions or expeditions.

2. Scope of Services

Our services may include:

  • Travel design and itinerary curation
  • Accommodation, transport, and logistics coordination
  • Guided tours, expeditions, and cultural experiences
  • Facilitation of impact projects in partnership with local organizations

All services are provided subject to availability, local conditions, and third-party provider performance.

3. Inquiries, Bookings & Confirmation

a) Inquiry

Submitting an inquiry does not constitute a booking or guarantee availability.

b) Booking Confirmation

A booking is confirmed only once:

  • A written confirmation is issued by Outreach Tours, and
  • The required deposit or full payment has been received.

c) Accuracy of Information

You are responsible for ensuring all personal details provided (including names, passport information, and travel documents) are accurate and match official identification.

4. Pricing & Payments

  • All prices are quoted in USD unless otherwise stated.
  • Prices may change due to exchange rate fluctuations, fuel surcharges, government fees, or supplier changes.
  • A non-refundable deposit is required to secure a booking (amount specified per journey).
  • Full payment is typically due before departure, as outlined in your booking confirmation.

Failure to make payments on time may result in cancellation without refund.

5. Cancellations & Refunds

a) Guest-Initiated Cancellations

Cancellation terms vary by journey type and will be clearly stated at the time of booking.
Unless otherwise specified:

  • Deposits are non-refundable
  • Late cancellations may incur 100% cancellation charges

b) Outreach Tours Cancellations

We reserve the right to cancel or modify a journey due to:

  • Safety or security concerns

  • Force majeure events

  • Insufficient participant numbers

  • Operational or partner-related constraints

In such cases, we will offer alternative arrangements or refunds for recoverable costs, where applicable.

6. Changes to Itineraries

Travel in Africa may require flexibility. Outreach Tours reserves the right to:

  • Adjust itineraries, accommodations, or activities
  • Substitute services of equal or higher standard
  • Modify routes or schedules due to weather, safety, or operational reasons

Such changes do not automatically entitle guests to refunds.

7. Travel Documents, Health & Insurance

You are solely responsible for:

  • Valid passports, visas, and entry requirements
  • Required vaccinations and medical precautions
  • Comprehensive travel, medical, and evacuation insurance

Participation may be denied if documentation or insurance requirements are not met.

8. Fitness, Safety & Conduct

  • Some journeys involve physical activity, remote locations, or challenging environments.
  • You must assess your own physical and mental fitness before booking.
  • Guests must follow all safety instructions provided by guides, facilitators, and partners.
  • Outreach Tours reserves the right to remove any participant whose conduct is unsafe, disruptive, or unethical, without refund.

9. Impact, Community Engagement & Ethics

Outreach Tours operates under a dignity-first, non-exploitative engagement framework:

  • No participant may engage in unauthorized activities with communities, schools, or individuals.
  • Photography, filming, and storytelling must follow consent and safeguarding guidelines.
  • Impact contributions are ring-fenced and implemented through vetted partners.

Violation of ethical guidelines may result in immediate removal from the experience.

10. Limitation of Liability

To the fullest extent permitted by law:

  • Outreach Tours is not liable for injury, loss, damage, delay, or inconvenience caused by third parties, force majeure, or circumstances beyond our control.
  • Participation is undertaken at your own risk.
  • Our liability, where applicable, is limited to the value of services paid directly to Outreach Tours.

11. Force Majeure

Outreach Tours shall not be liable for failure to perform obligations due to events beyond reasonable control, including but not limited to:

  • Natural disasters
  • Pandemics
  • Political instability
  • Government restrictions
  • Strikes or transport disruptions

12. Intellectual Property

All content on the Outreach Tours website—including text, imagery, branding, and design—is the property of Outreach Tours and may not be reproduced without written permission.

13. Privacy

Your personal data is handled in accordance with our Privacy Policy, which forms part of these Terms.

14. Governing Law

These Terms are governed by and construed in accordance with the laws of Kenya, without regard to conflict of law principles.

15. Amendments
